The current PDF also includes judicial status, bond amount, court and date, attorney, days in custody, and other identifying fields. None becomes a release field merely because a row later vanishes. A release code should be read with the destination and related case. “Transfer to DAC,” for example, means state custody began rather than freedom from custody.

Caldwell Weekend Release Record Gaps

When a weekend request is submitted on the next business day, ask for the accomplished release record rather than asking staff to confirm what “must have happened.”

Holidays can also affect when a requester reaches administrative staff, not necessarily when custody ends. The jail line remains the immediate county contact. Written confirmation is better for later reference. Keep the clocks separate. Report generation, court action, release processing, and records-office access may occur at different times.

Caldwell Roster Retention Has No Window

G.S. 132-6 requires access at reasonable times and says copies should be furnished as promptly as possible. It gives no fixed response deadline. G.S. 132-6.2 permits a medium the agency can provide and allows actual reproduction cost, but it also says the agency need not create or compile a record that does not exist. That no-duty-to-create rule is central when Caldwell publishes no three-day list.

The county’s FY 2025-26 schedule lists general copy terms, including free paper copies through 25 pages and per-page rates after that point. Those countywide terms should be confirmed before they are promised for a law-enforcement record. A narrowly framed electronic request may reduce work and makes the desired existing fields clear.
